Understanding Your Role & Permissions

Med Staff Tracker uses a role-based permission system. Your role determines what you can see and do in the system.

User Roles Explained

In Med Staff Tracker, there are three different roles
  1. Team members (staff)
  2. Clinician
  3. Applicant
Every user, will have at least one role. However there will be users that have 2 or even three roles.

Notes
Example: Dr. John Smith, is the medical director of ICU. In addition to his administrative duties, he also works in the ICU, managing patients. Therefore, Dr. Smith roles include: 
  1. Team member (staff): due to his administrative duties. 
  2. Clinician: because of this patient care practice 
  3. Applicant: when he needs to renew his hospital privilege.  

Applicant

Who Are They:

  1. Job candidates applying for positions
  2. Current employed clinicians that are applying for additional hospital privilege or renewing their hospital privilege

What Can They Do:

  1. View your own application status and progress
  2. Upload required documents (licenses, certifications, etc.)
  3. Track your hiring timeline
  4. Receive notifications about your application status
  5. Communicate with the team members

Team Member (Staff)

Who Are They: 

  1. All office and administrators responsible for managing the medical group. This include Opeartion team, recruiters, managers, supervisors, directors, executives, HR coordinators and so on. 

What Can They Do:

Staff have different level of access, permission and capabilities based on their position and responsibility. Here are a list of duties that a team member may have access to: 
  1. Applicants
    1. View applicants
    2. Edit applicants
    3. Add new applicants
    4. Delete applicant
  2. Workflows
    1. View workflow tracker
    2. Assign workflow to applicant 
  3. Tasks 
    1. Complete assigned tasks
    2. Complete any task
    3. View task notes
    4. Add task notes
    5. Add task to all notes
  4. Reports
    1. Access reports and analytics
  5. Audits
    1. View audit logs
  6. Team Members
    1. Edit team members
  7. Clinicians
    1. View clinicians list
    2. View clinician profile
    3. View shift requirement
    4. Edit clinician profile
    5. Manage shift requirement
    6. Send group email
  8. Documents
    1. View documents
    2. Download documents
    3. Manage documents
  9. Hospitals
    1. View hospitals
    2. View hospital documents
    3. Edit hospitals
    4. Manage hospital documents

Clinician

Who Are They:

Clinicians are Physicians, mid-levels (PAs, NPs), RNs, RTs or who ever that the medical group designate within their system. 

What Can They Do:

  1. View, access and manage their own profile
  2. Add, edit, or delete their own medical license, certificates and specialty information. 
  3. Access their own documents, upload new documents and delete old ones. 
  4. Communicate with Team members
